Integrating Gusto and QuickBooks: How to Eliminate Manual Payroll Entries

Gusto and QuickBooks Integration in 5 Easy Steps

Gusto and QuickBooks are two of the world’s most used accounting tools:

  • Gusto makes it easy to manage payroll, human resources and benefits.
  • QuickBooks manages your expenses, bookkeeping, sales and so much more.

Combine the two solutions together, and you have a powerful accounting system in place that allows you to better manage your finances and team.

Once you’re ready, it’s time to begin your Gusto and QuickBooks integration.

5 Steps to Gusto and QuickBooks Integration

1. Log in to Gusto and Go to “App Directory”

Your first step is to log in to both platforms: Gusto and QuickBooks. We’re going to assume that you’ve done this through the rest of the steps. Once you do log in, go to:

  • Gusto > App Directory
  • Go to the Search Bar
  • Search QuickBooks

Navigate to the app that says “QuickBooks Online” and then tap the “Connect” button.

2. Select the Company

During the connection process, you’ll choose the QuickBooks company that you want to connect. If you have more than one business, choose the one that you want to integrate Gusto with.

You’ll select a lot of settings in the next step that allows for even greater control over your integration.

3. Choose Your Settings

For most users, you’ll remain with the default settings which toggle all of your accounts on. You can then select any of your accounts, from bank accounts to expenses and liabilities for greater control. 

If you don’t see your preferred account on the list, you can display more rows or just search it from within the app.

You can select each item and an action that correlates with it. While this step is tedious, it’s one of the best ways for you to take control over your Gusto and QuickBooks integration. You can always come back to these settings in the future if you need to make changes.

Don’t See the Account You Need?

If you don’t see the account you need, go to your QuickBooks account and make sure that you’ve set the account up already. You’ll then need to refresh the accounts, and it should be in Gusto.

4. Select Unmatched Accounts

Not sure if you missed an account? You can go to the filter icon and then select unmapped accounts only. You can then map these unmapped accounts accordingly to make sure they’re all set up properly.

Spend time finishing up your accounts by selecting the Gusto categories on the left and the QuickBooks categories on the right.

Work through all of these settings one by one.

Pro Tip: It’s best to spend time setting up your accounts properly, even though it is a tedious process. 

5. Go to Settings

Navigate to the Settings tab to further customize your setup. Here’s a rundown:

    • Auto sync or manual sync. If you want your accounts to sync automatically, be sure to toggle this option. Otherwise, you’ll need to manually sync after every pay run.
    • Account mappings. You can further customize your mappings in this section. For example, you can consolidate journal entries by Job, Department and Project.
    • Select entry date. Your last step is to select your entry date. Select the best option based on how your accounting department is set up.

You can continue to work through any of the settings that remain, which are all very self-explanatory.
